    Update Outlook Calendar with Budget Entries

    Based on the budget entries, Update Outlook calendar function provides the ability send Budget Entries as calendar bookings, pre-filled with data needed to complete time entry such Project No. and Task Code No.

    Important

    Outlook Integration Setup must be configured before the Outlook Calendar feature is functional. For more information on setting up Outlook Integration, see: Outlook add-in for Progressus

    1. Add a Work Assignment in the Resource Board or Resource Planner. For more information on creating a Work Assignment, see: Work Assignments.

    2. Once Work Assignments are created and assigned to a Resource, there are two ways to send it to the Resource's Outlook Calendar.

      • Synch one Work Assignment at a time: Right-click the Work Assignment, select Edit. At the top of the Work Assignment Card, select the ellipse and choose Add to Outlook Calendar.
      • Synch Outlook Calendars by Project: Navigate to the Role Center > Projects > Projects to open the Project List. Select Project > Update Outlook Calendars. The Send Budget to Calendar page opens where you can filter by Project No., or add other filters from Project Budget Entries such as Date, Resource Group No., or No..
    Tip

    The status of the Work Assignment Card does not impact whether the Work Assignment is sent to the Outlook Calendar. Changing the Work Assignment Status will change the color of the Work Assignment on the Resource Board.

    Note

    Bookings in the Outlook Calendar should be at the day level to be manageable. If you create Budget Entries on a weekly or monthly level, it is recommended that you update the entries before sending them to the Outlook Calendars.
