Create Subcontract Payment Requests
Use the Subcontract Payments page to view in one place, all payment requests by vendor with approvals, payment status and invoice number.
To create a new payment request, use these steps:
Navigate to the Role Center > Subcontract > Subcontract Payment Requests.
To view existing payment requests, select the Subcontract link on the line you wish to review.
To create a new request, select New.
Select the subcontract from the Subcontract field.
If this is to be a final payment request on the subcontract, select Final Payment.
In the Invoice Detail fast tab:
- Invoice Date will default to current system date
- Invoice No is assigned by the system
- Purchase Invoice No.: Specifies the purchase invoice number populated when this payment request is posted.
- Override Vendor: allows you to select an alternate vendor to submit payment for this request.
- Terms: defaults from the Subcontractor Vendor Card and specifies the terms to be used for payment of this request.
- Pay When Paid Invoice: Specifies the customer invoice that must be paid for this payment request to generate a purchase invoice. Select the customer invoice from the dropdown to link it to this payment request.
Approval fast tab: Approvers listed default in from the Subcontract Card.
Totals fast tab: The Totals fast tab displays information about the payments on the subcontract, including the subcontract amount, approved requested amount, current requested amount, current retention and Net Pay amount which is the total amount to be paid to the subcontractor.
Payment Request Details fast tab: Use Payment Request Details tab to view or manage amounts to include in the current payment request. Use either of these steps to add transactions to the payment request:
Select Load Subcontract Items to display all lines from the subcontract. You can then delete any lines by:
selecting the line and selecting Manage > Delete line
or selecting the line and choosing the Line No. ellipsis and selecting Delete line.
Select Transaction Selection to select from Project Ledger entries.
Tip
Use the Total Request %, Request Units or Request Amount fields to enter a different percentage, unit, or amount to pay on the line item. The Net Pay Amount is updated on the line item, and in the header.
Select Submit when the Payment Request is complete.
Click Yes to message Do you want to submit the payment request xxxxxxx?
