Create Task Templates
Task Templates provide a way to standardize the setup of tasks across many projects. After a template is defined, it can be inserted into any project. Task templates can be selected in the Project Wizard or designated on a Project Template for use with Quick Project Guide. Task templates can be based on phases of the project and as necessary, appended to an existing project.
To create a new Task Template:
Navigate to the Role Center > Setup > Template Setup > Task Templates.
Select New from the ribbon.
Code: Create a unique Code to identify the new Task Template.
Description: Enter information to identify the new Task Template.
Task Selection: Used when selecting a template for a project. Not used when creating Task Templates on this page.
Assist: Used when selecting a template for a project. Not used when creating Task Templates on this page.
Template Lines: Select the newly created Task Template. Click this option from the ribbon to add tasks and details to the template.
Code: Create a unique Code to identify the new Task Number
Description: Enter information to identify the new Task
Task Type: Select from the list to determine the type and function of this task:
Posting: Line is associated with a posting account.
Heading: Information only text lines.
Total: Used to sum tasks. Noncontiguous tasks can be selected
Begin-Total: Marks the beginning of a section to be totaled. No amounts are calculated for this field.
End-Total: The sum of designated posting accounts starting with the Begin-Total.
Pre-Order - This field is used when a project is in the planning or quote phase. There may be work done that needs to be assigned to a specific task. To be able to post usage before the project is open, Pre-Order needs to be selected.
Require Comments: Specifies when comments are required on timesheet or expense sheet entries posted to this task.
Resource Chargeable: The chargeable field is included on each transaction and defines if a transaction is included in invoice suggestions. Select this field to make resource transactions using this Task chargeable by default.
Note
Users can modify the chargeable field during invoicing if the value was incorrectly set on the transaction.
Contract Type: Options include: - TM (Time & Material) - actual costs. - Fixed (Fixed Price) - agreed price to be charged, generally for the entire project or each task - field on task card for Contract Amount.
Usage Value Type: Options include: - High - Low
Item Chargeable: The chargeable field is included on each transaction and defines if a transaction is included in invoice suggestions. Select this field to make Item transactions using this Task chargeable by default.
Expense Chargeable: The chargeable field is included on each transaction and defines if a transaction is included in invoice suggestions. Select this field to make Expense transactions using this Task chargeable by default.
Resource Invoice Type: Options include:
- Fixed - Agreed price to be charged, generally for the entire project or each task - field on task card for Contract Amount.
- Time/Material - actual costs.
- Percent Complete: Based on a percentage of completed costs.
Item Invoice Type: Options include:
- Fixed - Agreed price to be charged, generally for the entire project or each task - field on task card for Contract Amount.

- Percent Complete: Based on a percentage of completed costs.
Expense Invoice Type: Options include:
- Fixed - Agreed price to be charged, generally for the entire project or each task - field on task card for Contract Amount.
- Time/Material - actual costs.
- Percent Complete: Based on a percentage of completed costs.
Resources % Complete: Specifies if resource usage is to be included in percent complete calculation for billing.
- Items % Complete: Specifies if item usage is to be included in percent complete calculation for billing.
Expenses % Complete: Specifies if expense usage is to be included in percent complete calculation for billing.
% Complete Override: Specifies if the user can override the calculated percent complete for billing.
Timesheet Currency Code: Specifies a default currency to be used for timesheets with this task code.
Resource Use Posted Currency: Specifies, if true, that the currency used for a posted resource transaction will be used for the sales invoice when billing is done. This setting may be overridden in Project Setup: Use Invoice Currency = True and the Project Card has an Invoice Currency Code.
Expense Use Posted Currency: : Specifies, if true, that the currency used for a posted expense transaction will be used for the sales invoice when billing is done. This setting may be overridden in Project Setup: Use Invoice Currency = True and the Project Card has an Invoice Currency Code.
Item Use Posted Currency: : Specifies, if true, that the currency used for a posted item transaction will be used for the sales invoice when billing is done. This setting may be overridden in Project Setup: Use Invoice Currency = True and the Project Card has an Invoice Currency Code.
Email Alerts: Checkbox to turn on email alerts for Project Alert % to the Project Manager and Person Responsible.
