    Allocation Hierarchy List

    Use Allocation Hierarchy List to add and maintain user-defined rate levels. If desired, only a single, default level needs to be set up for a rate table. For more complex multiple-level rates, additional lookup levels can be added. The detail level allows for three specific lookup keys. These keys are used to define the specific values for factors that are exceptions to the default rates. Rate levels/keys can be added, modified, or deleted on this page.

    Navigate to the Role Center > Setup > Allocation Setup > Allocation Hierarchy.

    Field Name Description
    Allocation Rate Specifies the code used to identify this** Allocation Rate** table.
    Rate Type Specifies a code, created by the user with a maximum 2 characters, used in Allocation Hierarchy and Allocation Methods, that has a percentage amount for calculating the allocation entry to the Project. Example: code “oh” might use 10% to calculate the amount to add to the Project for overhead.
    Rate Table Description Specifies information about the rate table.

    Level Specifies the level or order of lookup for this table's Allocation Rate hierarchy.
    Allocation Key 1 Specifies the first field to use for filtering the data and applying the rate(s).
    Allocation Key 1 Description Specifies information about the first Key field.
    Allocation Key 2 Specifies the second field to use for filtering the data and applying the rate(s).
    Allocation Key 2 Description Specifies information about the second Key field.
    Allocation Key 3 Specifies the third field to use for filtering the data and applying the rate(s).
    Allocation Key 3 Description Specifies information about the third Key field.
    Important

    Detail Lines must be unique based on Level, and each Key in the detail line must be unique.

    Set up Multi-Level Rates

    Multi-level Rate Entry in the Allocation Hierarchy page allows the entry of rates that are exceptions to the default rates. You can set up a level 1 rate for Task X and Employee 1. Level 2 can be a different rate defined for Project X, Task Y and Employee 2.

    Once the Allocation Hierarchy header is created, you can set up rates to associate with each level in the hierarchy. For example, if the Allocation Type is STND, and the Rate Type is B, in the Allocation Hierarchy section, you may decide to add a level 1 line for the ;Allocation Key PROJ (Project ID). The Allocation Processor will look at the level with the most Allocation Key filters. If it finds transactions that fall into that filter, it will apply the Multi-Level Rate designated for that level and date found in Multi-Level Rate Entry. The system will then search for entries that fit the criteria of the remaining levels, always looking at the most complex and working down to the simplest. If a search of all levels does not provide a rate to apply to a transaction, a default rate (level 0) will be applied.

    To set up Multi-Level Rates in Allocation Hierarchy, navigate to Role Center > Setups > Allocation Setups > Allocation Hierarchy.

    Rate Type Select an Allocation Rate Type (i.e. "B").
    Note

    Select a line in the Allocation Hierarchy grid and enter a level number *(i.e. 1, 2, 3, etc.).

    ||IMPORTANT: Line 0 in the Allocation Hierarchy grid must be setup with no key, then go to View Multi-Level Rates and enter a default rate.|

    The Multi-Level Rate Entry page opens. To add rates, select a line and add:

    Effective Date Specifies the date the system will start using this rate.
    Direct Rate Specifies a percentage, to be applied to Project Ledger entries that match the Allocation Key filters, to calculate the allocation amount for the Rate Type in the hierarchy and will be used when creating Allocation entries during processing, if included in the Apply to Rate in Allocation Methods Setup. The entries do not produce Invoice Suggestions for the Project.
    Billing Rate Specifies a percentage, to be applied to Project Ledger entries that match the Allocation Key filters, to calculate the allocation amount for the rate type in the hierarchy and will be used when creating Allocation entries during processing, if included in the Apply to Rate in Allocation Methods Setup. The entries produce Invoice Suggestions for the Project.
    Tip

    By offering both a Direct Rate and a Billing Rate, you can bill at a different rate/amount from the cost.
